About the role

Under the supervision of the Founder and in close collaboration with the Project Coordinators and other members of the JESUIS team, the Project and Operations officer will support the planning, development, coordination, implementation, monitoring, and communication of the Association's programmes and organizational initiatives. The role will contribute to project design, resource mobilization, grant proposal development, partnership engagement, operational coordination, knowledge management, and reporting, while helping strengthen the Association's visibility, and long-term sustainability in support of its mission to promote inclusive and sustainable development.

Requirements

  • Minimum Education requirements
  • Advanced university degree (bachelor’s degree or equivalent) in computer science, sociologies, anthropology, project management, law, environment, natural resource management, or a related field
  • A first-level university degree (bachelor’s degree) in the said fields with 2 additional years of qualifying experience will be considered in lieu of Master’s degree
  • Minimum of 1 year (with a Bachelor’s degree) in project writing and grant seeking is preferred. However, one year of other relevant professional experience will also be considered or related field. Required skills
  • Experience using digital tools (e.g., Google Word, Workspace, Canva, Trello, Excel, or WordPress) is required.
  • Demonstrated capacity to work independently with minimal supervision, while maintaining regular communication with the team and providing result is required
  • Knowledge of sustainable development goals is required. Desired skills
  • Demonstrated ability to meet deadlines and manage multiple tasks simultaneously is desirable
  • Familiarity with non-profit or community based work is an asset. • Experience working with local communities is an asset Required Language(s) Fluency in either French or English is required, and a good command of the other language is essential
  • Additional Details
  • The duration of this assignment is 06 months, which could be extended according to performance and existing projects
  • The volunteer will work from home
  • The volunteer will report to, and be directly supervised by the Founder of the Association and directed by the Project Manager
  • The volunteer will be given access to relevant information necessary for the execution of the tasks under this assignment
  • The volunteer will work remotely and will be responsible for providing her/his own work station (i.e. laptop, internet, phone, scanner/printer, etc.) and must have access to reliable internet connection
  • The volunteer is expected to demonstrate reasonable flexibility and manage their time independently, while committing to a minimum of 7 working hours per day

Responsibilities

  • A-Project Design and Proposal Development
  • Contribute to needs assessments, background research, literature reviews, and stakeholder mapping to inform project design and development
  • Contribute to the conceptualization and design of innovative projects aligned with the Association's mission and strategic priorities
  • Draft clear, well-structured concept notes, project proposals, and technical documents in collaboration with project teams
  • Develop logical frameworks, theories of change, work plans, budgets, and monitoring frameworks, as appropriate
  • Ensure project narratives are aligned with donor priorities, funding requirements, and organizational objectives
  • Compile, organize, and review supporting documentation required for proposal submissions
  • Review, edit, and proofread project documents to ensure clarity, consistency, and quality
  • Ensure proposals and supporting documents are submitted accurately and within established deadlines
  • Maintain an organized repository of project concepts, proposals, donor templates, and supporting documents
  • B- Grant Seeking and Resource Mobilization Support
  • Research, identify, and monitor relevant funding opportunities from bilateral, multilateral, philanthropic, corporate, and private donors
  • Review donor eligibility criteria and assess alignment with the Association's mission, programmes, and strategic priorities
  • Maintain a funding opportunity tracker and proposal submission calendar
  • Support the preparation and submission of grant proposals, concept notes, expressions of interest, and related documentation
  • Assist in the preparation of project budgets and donor reporting requirements
  • Support the identification and mapping of strategic partners and funding opportunities
  • Track proposal status, donor feedback, and lessons learned to strengthen future applications
  • Maintain organized records of funding applications, donor communications, and proposal outcomes
  • C- Project Implementation and Operations Support
  • Assist in coordinating the implementation of projects and organizational activities
  • Support the development and monitoring of project work plans, implementation schedules, and budgets
  • Assist in monitoring project activities and preparing technical and progress reports
  • Support monitoring, evaluation, learning, and data collection activities
  • Organize meetings, workshops, trainings, field missions, and stakeholder consultations
  • Prepare meeting agendas, presentation materials, minutes, and follow up on agreed action points
  • Coordinate logistical and administrative arrangements for project implementation and organizational activities
  • Maintain project documentation, filing systems, databases, and operational records
  • Support procurement processes and the acquisition of goods and services in accordance with organizational procedures
  • Maintain effective communication with project partners, consultants, volunteers, beneficiaries, and other stakeholders
  • Support risk identification, quality assurance, and compliance with donor and organizational requirements
  • Foster effective teamwork and contribute to improving internal processes and organizational efficiency
  • Perform any other duties assigned in support of the Association's programmes and operations
  • D-Communications and Visibility Support
  • Contribute to the regular updating and continuous improvement of the Association's website, ensuring that projects, activities, opportunities, publications, and achievements are presented accurately and attractively
  • Research, draft, edit, and format high-quality communication materials, including news articles, blog posts, project briefs, reports, success stories, newsletters, and promotional content
  • Support the planning, preparation, and scheduling of content across the Association's communication channels, including Facebook, X, Instagram, LinkedIn, YouTube, and other digital platforms
  • Design communication and visibility materials, including flyers, posters, brochures, infographics, presentations, and other digital or printed products
  • Work closely with project teams to translate technical information and field data into clear, engaging, and accessible communication products tailored to different audiences
  • Assist in documenting project activities through photographs, videos, interviews, testimonials, and field stories
  • Support media engagement, outreach campaigns, and public awareness activities, where appropriate
  • Maintain communication databases, mailing lists, and digital communication resources
  • Propose innovative communication approaches and digital tools to strengthen the Association's visibility, storytelling, public engagement, and institutional image
  • E-Institutional Development and Organizational Support
  • Contribute to organizational planning, institutional strengthening, and continuous improvement initiatives
  • Support the development and maintenance of organizational knowledge management systems, templates, and documentation
  • Assist in preparing institutional documents, partnership agreements, organizational profiles, presentations, and reports
  • Support the identification and development of strategic partnerships with governmental institutions, development partners, academia, civil society organizations, and the private sector
  • Contribute to the preparation of annual work plans, strategic documents, and organizational reporting
  • Undertake any other tasks assigned by the Founder or Project Manager that contribute to the effective functioning and long-term sustainability of the Association
